What Your P.Eng. Application Status Means (EGBC, APEGA, APEGS and PEO)

Published September 27, 2026

A portal status tells you where your file is, not whether you will be licensed. We could find no published glossary of status labels from EGBC, APEGA, APEGS or PEO, so this guide reads the labels applicants most often ask about against each regulator's published process, as of September 2026.

The short version: at EGBC, "Assessment is completed" means the assessors are done and the Credentials Committee decides next. At APEGA, "case to Board" means your file is going to the Board of Examiners. At APEGS, "all green" validations lead to a result within 90 days once your submission is complete. PEO confirms completeness within 10 business days and decides within 90 days.

At a glance (as of September 2026)
  • None of the four regulators publishes definitions of its portal status labels that we could find; read them against the published steps below.
  • EGBC: about six months from a complete application to a decision, and since June 2, 2026 the applicant portal shows time estimates for each task.
  • APEGA: the Board of Examiners meets once a month except July and emails its decision by the end of the month after the meeting.
  • APEGS: a result within 90 days of a complete submission, which must include at least two professional references.
  • PEO: completeness confirmed within 10 business days, one chance to fix an incomplete file within 60 days, and a decision within 90 days.

EGBC: from validations to the Credentials Committee

After you submit your self-assessment, you can log back into the Competency Assessment System at any time to track your validators' progress. You see whether they have finished, not their ratings or comments, which are confidential. If a validator stalls, resend the link from the system or email competency@egbc.ca to add a new one. Once every example is validated and every feedback form is in, the assessment stage begins.

Two assessors in your discipline then review your examples and your validators' comments. Applicants often report the label "Assessment is completed" at this point. EGBC doesn't define it publicly, but in its process the assessors' review comes before the Credentials Committee's decision, so read it as "the assessors are done", not as an approval. The committee can still approve you, reassign competencies for revision, assign Working in Canada Seminar units, ask for more experience, invite you to an interview or assign exams.

EGBC's published estimate is about six months from a complete application to a decision, and interviews take 2 to 6 months to arrange. Since June 2, 2026 its applicant portal has shown time estimates for each task, so check there first. An application is deactivated after one year of inactivity on your part; you can reactivate it free of charge within seven years.

APEGA: the myAPEGA steps and "case to Board"

In myAPEGA you submit a draft Work Record Validator List (WRVL) and then a draft Competency-Based Assessment Tool (CBAT), pay within 90 days of starting, and resubmit both as final. APEGA then emails your validators and references. Their forms, and your academic records, are due within 90 days of payment, or the application is withdrawn. Until every validator response form is in, you can change validators yourself by updating the WRVL and the CBAT.

Once your application is complete, staff send an introductory letter within 30 days that lists anything outstanding. The file then goes through a staff screen, a review by a P.Eng. or P.Geo. on staff, an academic review and an experience review by examiners. APEGA estimates up to six months for its review.

"Case to Board" indicates that your file is going to the Board of Examiners (BOE) for a decision to approve, defer or refuse. APEGA doesn't publish a definition of the label, but it does publish the timing that follows: the BOE meets once a month except July, and you receive the decision by email by the end of the month after the meeting. A file decided at a May meeting, for example, should hear by the end of June. If APEGA asks you to change a competency example along the way, the new version must be validated again.

APEGS: from "all green" to a result

Applicants call a file "all green" when every validator has completed their part in the Competency Assessment System. APEGS doesn't publish status definitions, but its guide sets out what happens next:

  1. Validator check. APEGS confirms your validators are acceptable and tells you if any are not.
  2. Quality check. If the submission has excessively poor spelling or grammar, or too little information, it is reopened, and you must rewrite every competency and have it revalidated.
  3. Assessment. At Confidence Level 1, where all your experience and competencies were validated by a Canadian licensed professional or equivalent, a staff assessor rates the file. Every other file is Level 2: a staff assessor plus at least one volunteer who reviews the technical competencies.
  4. Result. Within 90 days once the submission is complete, sent by email and added to your online profile.

"Complete" means a full employment history, an example for every competency, a finished self-assessment, validations by approved validators covering at least four years, and at least two professional references received through the system. Your examples are locked once they go to validators. After your work experience is accepted, APEGS lists 2 to 4 weeks to process a P.Eng. or P.Geo. application from a member-in-training.

PEO: completeness, assessment, decision

PEO publishes its steps rather than status definitions. Since July 1, 2026 you can start your CBA as soon as you open an application, but you can mark the experience requirement complete only once you have entered at least 24 months of eligible experience and your CBA has been completed and validated. Once PEO notifies your validators you can't change your experience information, although you can replace a validator who hasn't finished by declining them and re-adding or reassigning in the portal.

After you submit, PEO confirms within 10 business days whether your application is complete. If it isn't, you have 60 days to make one attempt to fix it. Complete applications are assessed within 90 days, and the result is either a licence, issued when you pay the registration fee, or a Registrar's Notice of Proposal to refuse. PEO won't review your experience before you apply. More in PEO's 24-month rule and what a Notice of Proposal means.

Other regulators

We found no status definitions from EGM, Engineers Nova Scotia, APEGNB, Engineers PEI or PEGNL either. Their published timelines range from feedback about 30 days after an assessor is assigned (EGM and Engineers Nova Scotia) to 8 to 10 weeks for a PEGNL decision, and APEGNB and Engineers PEI publish none. See what happens after you submit your CBA for each one, and what to do when a validator stalls.

Frequently asked questions

My EGBC status says "Assessment is completed". Am I approved?

Not yet. The assessors have finished and the Credentials Committee decides next. It can still approve you, send competencies back for revision, assign seminar units or more experience, or invite you to an interview.

How long after "case to Board" will APEGA decide?

The Board of Examiners meets once a month except July, and APEGA emails the decision by the end of the month after the meeting. APEGA doesn't publish which meeting a given file will go to.

How long after "all green" will APEGS decide?

APEGS says you should receive a result within 90 days once the submission is complete and your validators are accepted. A file without at least two professional references isn't complete, so check those first.

Can I edit my examples after my validators are notified?

Generally no. PEO locks your experience information once validators are notified, and APEGS locks your examples once they go to validation. At EGBC you can ask for a competency to be unlocked if a validator requests changes, and at APEGA you can change validators until all their forms are in.

Can I see my validators' ratings in the portal?

No. You may be able to see whether a validator has finished, but validator ratings and comments are confidential at every regulator that uses the CBA. The assessors' ratings are the ones that decide.
